1. Who we are
Helm Technologies LLC (“Helm,” “we,” “us”) makes software that helps local service businesses respond to the calls and texts they would otherwise miss. This policy explains what we collect, why, and the choices you have.
2. Who this policy covers
Customers: businesses that sign up for Helm and the people on their accounts.
Callers: people who call or text a business that uses Helm and have a conversation with its automated assistant.
If you’re a caller, your relationship is with the business you contacted. Helm processes your information on that business’s behalf, as its service provider, so the business can respond to your request. This policy describes that processing.
3. Information we collect
Account information (customers). Business name, owner name, email address, phone number, and the service details you configure, like your trade, hours, and service area.
Communications data (customers and callers). When someone calls or texts a Helm-connected number, we receive phone numbers, call metadata (time, duration, direction), message content, voice recordings and voicemails, transcripts, and details shared in the conversation, such as a name, address, or job description. We also process the responses the assistant generates.
Payment information (customers).Payments are handled by our payment processor. We don’t store full card numbers.
Usage, device data, and cookies.Browser type, device information, IP address, and interaction events when you use our website or dashboard. We use cookies for authentication, preferences, and first-party product analytics. We don’t use advertising cookies or cross-site tracking.
4. Call recording and automated conversations
Calls answered by the Services may be recorded and transcribed, and callers are told at the start of the call. Conversations are handled by an automated AI assistant that identifies itself as such. Recordings, transcripts, and messages are made available to the business the caller contacted.
5. How we use information
We use the information we collect to:
- Operate, maintain, and improve the Services;
- Conduct conversations, generate summaries, and deliver lead details to the business;
- Monitor quality, prevent abuse and spam, and keep the Services secure;
- Communicate with customers about their account, support requests, and product updates;
- Bill for the Services and comply with legal obligations.
6. AI processing
Helm uses third-party AI models to conduct, classify, and summarize conversations. Conversation content sent to these providers is processed only to produce the Services. We do not use your conversations to train general-purpose AI models, and we use providers under terms that prohibit them from doing so.
7. Service providers
We share information with a small number of vendors that help us run the Services, limited to these categories: cloud hosting and data storage, telecommunications carriers, AI model providers, payment processing, transactional email, product analytics, security and abuse prevention, and quality monitoring. Each operates under contracts that limit its use of the information to providing services to us. A current list of vendors is available on request at hello@helmassist.com.
8. When we share information
Beyond the service providers above, we share information only:
- With the business a caller contacted, so it can respond;
- With people a customer authorizes on its account;
- To comply with law, lawful requests, or to protect rights and safety;
- In connection with a business transaction (merger, acquisition, asset sale).
We don’t sell personal information, and we don’t share it for cross-context behavioral advertising.
9. Data retention
We keep account information while an account is active. Conversation data (recordings, transcripts, and messages) is kept while the related business’s account is active so the business can review its history, and is deleted or de-identified within a reasonable period after the account closes. Billing records are kept as long as tax and accounting law requires. You can request deletion sooner as described in section 11.
10. Security
We use reasonable technical and organizational measures to protect information, including encryption in transit, access controls, and row-level security at the database level. No system is perfectly secure. Customers should keep their sign-in methods safe.
11. Your rights and choices
Depending on where you live, you may have the right to access, correct, export, or delete your personal information. To exercise these rights, email hello@helmassist.com. We’ll respond within the time required by applicable law, and we don’t discriminate against anyone for exercising their rights.
Callers.Because we process caller information on behalf of the business you contacted, we may refer your request to that business or handle it at its direction, and we’ll help make it effective either way. You can stop receiving texts at any time by replying STOP.
California residentshave rights under the CCPA/CPRA, including to know, correct, and delete. We don’t sell or share personal information as those terms are defined in the CCPA, so there is no sale to opt out of. EEA, UK, and Swiss residents have rights under the GDPR/UK GDPR.
12. International transfers
We’re based in the United States, and the Services are offered to US businesses. If you access the Services from outside the U.S., your information may be transferred to and processed in the U.S.
13. Children
The Services are built for businesses and aren’t directed to children under 13, and we don’t knowingly collect personal information from them. If you believe a child has provided personal information through a business’s number, contact us and we’ll delete it.
14. Changes
We may update this policy from time to time. Material changes will be reflected in the “Last updated” date above, and we’ll notify customers by email or in-app when appropriate.
